Give every record a home
Choose one physical folder and a simple digital naming pattern: date, mileage and a short description. Keep invoices, inspection reports and parts documents together. An image is useful for quick reference, but retain originals when they are needed for ownership, warranty or future sale.
Separate work from recommendations
A garage may list completed work, advisories and future recommendations on the same sheet. Copy them into separate lists. “Recommended” does not mean “replaced”. If the wording is unclear, ask the garage rather than making the history appear more complete than it is.
Use the vehicle schedule
Servicing requirements vary with the exact engine, model, age, use and manufacturer schedule. Low mileage does not automatically remove time-based requirements. Keep the relevant handbook or service information alongside the records, and let the workshop explain what applies to this car.
Close the loop
After a visit, check the recorded mileage and work description, file the invoice and update the outstanding list. Add the next agreed action, not an invented universal interval. When selling, show the evidence clearly and disclose gaps rather than trying to hide them.
